SAA and Region Functionality Only
If you need to send an e-mail to subgrantees (i.e. to distribute important system or grant information), you can use the E-mail All Subgrantees tool in the System Administration section of the Administration Menu.
To e-mail all subgrantees:
From the Administration Menu, click the E-mail All Subgrantees hyperlink in the System Administration section. The E-Mail All Subgrantees page displays. The From and Subject fields in the E-Mail All Subgrantees section are automatically completed by SPARS. If desired, you may edit these fields.
To add content to the e-mail, enter text into the text editor provided. Standard text editing tools are available to assist you in composing your message.
***If you do not need to attach documents to the e-mail, proceed to step 5.***
To attach a related document, click the Browse... button located to the right of the File Attachment field. A Choose File pop-up window displays, which allows you to search for the file you wish to attach.
Once you have located the correct file, click the Open button. The file is now attached to the e-mail.
Scroll to the E-mail To section located below the Actions section. Select or deselect the checkboxes next to the desired recipient’s names, otherwise, the system automatically selects to send your e-mail to all users in your region.
If you are an SAA, you can either select from three checkbox options in the top right corner of the section (Select All, Select Region Admins, or Select Subgrantees) or make individual selections by scrolling through the list displayed to located specific recipients.
Once you have selected the desired recipients, click the Send Mail button in the Actions section. This temporarily displays a page with the details of your e-mail as it is being sent to the address(es) provided in the user's SPARS accounts, and then re-directs you to the Administration Menu.
